A high end commercial Xerox multi-function center will be the primary printer for office. This printer will support color-laser copies, faxes, prints, and scans. The idea is to reduce the amount of printer that would be used. There will be 4 paper trays – two trays for paper, and two trays for size 10 US envelopes. Since the system can support faxes, there will be an ATA? to connect the fax line to the WAN?, and therefore make fax calls. Most faxing will be done with Section-8, however if the liaison for Section-8 will support receiving email?s, then this will be preferred. All moving papers, and physical documents will be scanned, and stored in the tenant’s folder in the file server for the realty network.
The employee can also use the printer to print personal files as long as they don’t abuse the privilege. If I find that there is too much in supplies being consumed over printing of personal files, then that would need to end right away. While toner cartridges are cheaper than ink cartridges – paper is also an expense that needs to be accounted for. With most of the files being digital, it would stand to reason that the printer should only be used when necessary.
The printer also functions as a fax machine for outgoing faxes. Incoming faxes are intercepted by the telephony server, and therefore will send the fax as a .pdf file. This will reduce the demand on printed paper, especially if the fax does not need printing. The employee will be discouraged from using the fax system for personal faxes.
